A3 COVID-19 EVENT POLICY FOR MEMPHIS

We are excited to welcome you next month to our Autonomous Mobile Robots & Logistics Conference, Oct. 12-14, in Memphis, Tennessee. To facilitate a safe environment for all participants, the Association for Advancing Automation is implementing this COVID-19 Policy that requires either proof of vaccination or a negative COVID-19 test result to attend the event. Masks will also be required during the conference. Attendees will need to agree to the waiver of liability below.  We will be using a third-party platform for vaccine or test result verification and to confirm your acceptance of the wavier. In response to the COVID-19 pandemic, and in accordance with recommendations from the Centers for Disease Control and Prevention, the Occupational Safety and Health Administration, and applicable public health orders and laws, Association for Advancing Automation (“A3” or “Company”) implements this COVID-19 Policy (“Policy”).

This Policy is applicable to all attendees of events hosted by A3, and its protocols are designed to facilitate a safe environment for all participants.
 

Who May Attend?

All attendees must provide proof of vaccination or evidence of a negative COVID-19 test result, completed within 72 hours of the commencement of the event.

We require a molecular or antigen test, obtained through a nasal swab.

Test must be obtained up to 72 hours before October 11, 8:00 AM Central time.

This documentation must be submitted via a secure platform in advance of the commencement of the event.


Masking Requirements

In general, all attendees must wear face coverings during event activities.

There are specific exclusions to these masking requirements:  

  • Speakers may remove their face coverings while presenting so long as they maintain at least six feet distance between themselves and others; and
  • Attendees may remove their face coverings while eating or drinking.

A3 provides reasonable accommodations to individuals who are unable to wear a face covering because of a disability.  Reasonable accommodations may include face shields instead of masks.


Physical Distancing

A3 encourages all attendees to maintain at least six feet of separation whenever feasible.

Attendees must sign and submit the enclosed Acknowledgment and Waiver of Liability.  Any questions or concerns should be sent via email to [email protected].

 

ACKNOWLEDGMENT OF COVID-19 POLICY AND WAIVER OF LIABILITY RELATED TO COVID-19

I acknowledge receipt of the COVID-19 Policy (“Policy”).  I understand that it is my responsibility to read, familiarize myself with, and comply with this Policy.

COVID-19 is a virus with serious health implications.  While many precautions will be taken, Association for Advancing Automation (“A3” or “Company”) cannot guarantee that attendees at our events will avoid exposure to COVID-19.  A3 is requiring attendees to execute this Waiver of Liability Related to COVID-19 (“Waiver”) as a condition of attendance.

I, the undersigned, confirm that I am not experiencing COVID-19 symptoms, and that I have not been in close contact with a confirmed case of COVID-19 in the preceding 14 days.  I further confirm that I have submitted proof of vaccination or a negative COVID-19 test result, completed within 72 hours of the commencement of the event.

In consideration of being allowed to enter A3’s event premises, I assume all risk of contracting COVID-19 or similar viruses.

I HEREBY WAIVE AND RELEASE ALL CLAIMS, DEMANDS, COSTS, CAUSES OF ACTION, AND DAMAGES I HAVE OR MAY EVER HAVE AGAINST A3, ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS (collectively, “Released Persons”) RELATED DIRECTLY OR INDIRECTLY TO COVID-19 OR SIMILAR VIRUSES.  This Waiver includes, but is not limited to, waiver of all acts of active or passive negligence by any of the Released Persons.  This Waiver includes waiver of all claims, whether known or unknown, foreseen or unforeseen.

This Waiver shall survive the termination of any relationship between the Released Persons and the undersigned.

This Waiver shall be binding upon and inure to the benefit of the Released Persons and the undersigned and their respective successors, assigns, heirs, and personal representatives.

This Waiver contains the entire agreement between A3 and me with respect to the subject matter hereof and supersedes all prior representations and agreements related thereto.  This Waiver cannot be revoked by me but may only be modified by a written agreement signed by an authorized representative of A3 and me.

BY ATTENDING THE AUTONOMOUS MOBILE ROBOTS & LOGISTICS CONFERENCE, YOU REPRESENT AND AGREE THAT HAVE READ, UNDERSTAND, AND AGREE TO ALL OF THE TERMS AND CONDITIONS OF THIS WAIVER.
